The information here contains details that will impact your expense reimbursements. We've included this information to inform you of ITAMP's travel policies and to help make your stay and your reimbursement go flawlessly. Once you have made your travel and lodging accommodations, let me know your itinerary so I can be sure everything is ready for your arrival.
Before Making your Travel Arrangements: If ITAMP has agreed to reimburse your travel cost PLEASE BE AWARE that as a federally funded Institute, we can only purchase tickets on United States Flag Carriers. Travelers who purchase International airfares (defined as trips taking more than six hours of fly-time, including Alaska & Hawaii, but excluding trips to Canada and Mexico taking under six hours) follow the United States Federal Travel Regulations, even through less costly foreign flag carriers may be available. Please make sure that your ticket is written on an American Airline ticket stock and lists the American flight numbers. When booking your flight please note that due to the open sky's agreement, ITAMP is able to reimburse flights from European Union carriers when flying out of the home country of the airline. For example if traveling from the UK you can fly on a UK carrier. This should save everyone some money and allow your reimbursement to stretch just a bit further. Accommodations: You must stay within the per diem guidelines for your accommodations. To find the current per diem for Cambridge visit www.gsa.gov website. Typically the range is between 150-180 depending on the time of year. Please also note that you will be reimbursed up to the amount agreed on in your invitation letter.
Depending on your circumstance you will submit a travel expense report, including receipts for all claimed expenses over $75. It is better to get some of this done before you leave. Please make sure to make an appointment with ITAMP's Administrator in order to process this paparwork. Visitor Parking: Harvard University Daily Visitor Parking Permits are available on an Online Purchase System. You will need your license plate number and the State to complete the transaction. Please visit the https://www2.uos.harvard.edu/cgi-bin/permit/purchase.pl and click on the visitor link at the bottom of the application. Note: When you get to the online form, enter Department as Observatory and Department Code as 2018.
